Payroll Set-Up for a Growing Team

Payroll had been run from a spreadsheet since the business had three staff. At twelve employees it was taking a full day each pay period, cheques were occasionally late, and CPP and EI calculations were being done by hand against a printed table.

Two remittances had been paid after the fifteenth of the month, and the resulting penalties and interest were the reason the owner finally called us.

What the Client Needed

A pay run that took minutes rather than hours, remittances that arrived at CRA on time every month, and year-end slips issued without a scramble in February. The owner also wanted records of employment to go out the same week someone left, because delays were creating problems for departing staff.

What We Did

We reviewed the existing payroll account and corrected the remittance frequency CRA had assigned. Payroll was moved onto software with direct deposit, employee records were rebuilt with accurate TD1 amounts, vacation accrual and statutory holiday calculations, and a calendar of remittance dates was set against the company’s pay schedule.

WorkSafeBC assessable earnings are now reported each quarter from the same data, records of employment are filed through ROE Web as soon as we are told about a departure, and T4s are prepared and distributed in February with the summary filed at the same time.

The Result

There have been no late remittances since the changeover, and the penalties that prompted the engagement have not recurred.

Pay runs are approved by the owner in a few minutes, and payroll questions from staff are answered by us directly rather than landing on the owner’s desk.
